v1.2 changelog: Updated site URL to epochnotes.com. Removed name field from Section 3.1 — form collects email address only. Updated all references to collected data accordingly. No substantive legal changes.
Epoch Notes LLC ("Company," "we," "us," or "our") is a Wyoming limited liability company. This Privacy Policy ("Policy") governs the collection, use, disclosure, retention, and protection of personal information obtained through our waitlist landing page located at epochnotes.com (the "Site").
This Policy applies solely to the Site and the data collected through it. The Epoch Notes mobile application is not yet commercially available. A separate, comprehensive privacy policy governing the application — including provisions specific to note content storage, voice and audio data, biometric identifiers, AI processing, subscription billing, and in-application analytics — will be published prior to launch and will supersede this Policy with respect to application users.
By accessing the Site or submitting information through the registration form, you represent that you are at least thirteen (13) years of age and acknowledge that you have read and understood this Policy.
Epoch Notes LLC does not sell, rent, license, trade, or share your personal information with third parties for their own commercial purposes or monetary consideration. This applies to all users regardless of jurisdiction. We do not engage in cross-context behavioral advertising using your personal information.
When you submit the waitlist registration form on the Site, we collect the following category of personal information:
Submission of this information is entirely voluntary. You may withdraw your registration and request deletion of your information at any time as described in Section 9.
We use Plausible Analytics, a privacy-preserving web analytics service, to collect aggregate, non-personally-identifiable data regarding how visitors interact with the Site. Plausible Analytics operates without cookies, does not retain IP addresses, and does not track individuals across websites, devices, or sessions. Country of origin is derived from IP address data that is immediately anonymized and not retained. The aggregate data we receive through Plausible includes:
This data is processed exclusively in aggregate form and cannot be used, alone or in combination, to identify any individual visitor. Plausible processes this data on EU-based infrastructure; no analytics data is transferred to or stored in the United States.
We do not deploy first-party cookies, third-party tracking cookies, advertising pixels, or cross-site tracking technologies on the Site. Plausible Analytics is cookieless by design and sets no cookies on your device.
Cloudflare, our site host, may set technically necessary cookies for security and performance purposes, including bot detection. These cookies do not track you across websites for advertising purposes and are exempt from consent requirements under applicable law as strictly necessary cookies.
Through the Site, we do not collect payment or financial information, government-issued identification numbers, health or medical data, precise geolocation data, biometric identifiers, biometric information, or any category of sensitive personal information as defined under applicable law.
We use the personal information collected through the Site for the following purposes. All anticipated uses — including foreseeable post-launch uses — are disclosed here consistent with the principle of purpose limitation under applicable law.
Upon the commercial launch of the Epoch Notes application, and subject to your continued consent where required by applicable law, we may use your email address for:
At the time of application launch, we will provide waitlist registrants with notice of the updated privacy policy governing the application and, where required by applicable law, seek fresh consent for any new or materially different processing purposes.
We use aggregate, anonymized analytics data to understand how visitors discover and interact with the Site and to improve Site performance and user experience.
We may use personal information as necessary to comply with applicable law, respond to legal process, enforce our agreements, and protect the rights, property, and safety of the Company, our users, and the public.
We do not use your personal information for automated decision-making or profiling that produces legal or similarly significant effects concerning you.
For individuals located in the European Economic Area, the United Kingdom, or Switzerland, we identify the following lawful bases under the General Data Protection Regulation (EU) 2016/679 ("GDPR") and applicable equivalent legislation:
This section separately addresses the two categories of data collected through the Site, which are stored in different locations.
Personal data you provide through the registration form is processed by our site host as our data processor and stored on infrastructure located in the United States. We remain the data controller responsible for this data at all times.
If you are located outside the United States, your personal data will be transferred to and stored in the United States, which may not afford the same level of data protection as your country of residence. We rely on appropriate safeguards to govern such transfers, including contractual protections with our service providers consistent with applicable law.
For individuals in the EEA, UK, or Switzerland, transfers are subject to our site host's applicable data transfer mechanisms, which may include standard contractual clauses approved by the European Commission.
Article 27 GDPR — EU Representative: Epoch Notes LLC is not established in the European Union. Pursuant to Article 27 of the GDPR, controllers not established in the EU are required to designate a representative in the EU unless an exemption applies. We rely on the exemption provided under Article 27(2)(a), as our processing of personal data through the Site is occasional, does not include large-scale processing of special categories of data or data relating to criminal convictions, and is unlikely to result in a risk to the rights and freedoms of natural persons, given the limited nature of the data collected (email address only) and the absence of any ongoing or systematic processing. We will keep this assessment under review and will appoint an EU representative if our processing activities change in a manner that would require it.
For individuals in Brazil, transfers of personal data to the United States are governed by the mechanisms established under Article 33 of the LGPD. As Brazil has not issued an adequacy decision for the United States, we rely on contractual safeguards, including provisions consistent with the standard clauses established by Brazil's Autoridade Nacional de Proteção de Dados (ANPD), to govern such transfers.
Aggregate analytics data collected through Plausible Analytics is processed and stored exclusively on EU-based infrastructure operated by Plausible. This data does not contain personal information and is not transferred to or stored in the United States. No transfer mechanism is required for EEA, UK, or Swiss residents with respect to this data, as it never leaves EU jurisdiction.
We do not sell, rent, license, or otherwise disclose your personal information to third parties for their own commercial or marketing purposes.
We engage the following third-party service providers, each of which processes personal information in connection with the Site solely on our behalf, subject to our instructions and applicable data protection obligations:
| Provider | Role | Function | Data Location | Privacy Policy |
|---|---|---|---|---|
| Cloudflare Pages | Data Processor | Site hosting and content delivery | United States / Global CDN | cloudflare.com/privacypolicy |
| Plausible Analytics | Data Processor | Cookieless aggregate analytics | European Union | plausible.io/privacy |
Additional service providers will be engaged in connection with the Epoch Notes application at launch, including payment processors and cloud infrastructure providers. Those providers will be disclosed in the application's privacy policy.
The Site contains a link to the Company's Threads profile (@epoch_notes). No personal data collected through the Site is transmitted to Meta Platforms, Inc. via this link. Meta's processing of any data arising from your subsequent interaction with our Threads profile is governed solely by Meta's own privacy policy and terms of service, over which Epoch Notes LLC has no control or influence.
The Site may contain links to third-party websites, platforms, and services — including our social media profiles — that are operated independently of Epoch Notes LLC. This Policy does not apply to those third-party properties. We are not responsible for the privacy practices, content, or data handling of any third-party site or service, and we encourage you to review the applicable privacy policies of any third-party sites you visit. The presence of a link to a third-party site on the Site does not constitute our endorsement of that site or its privacy practices.
We may disclose personal information where required by applicable law, court order, subpoena, regulatory demand, or governmental authority, or where we reasonably believe in good faith that such disclosure is necessary to protect the rights, property, or safety of the Company, our users, or others.
In the event of a merger, acquisition, reorganization, or sale of all or substantially all of our assets, personal information held by us may be transferred to the acquiring or successor entity as part of that transaction. In such event, we will provide notice to affected individuals and require the acquiring entity to honor the terms of this Policy or provide prior notice of any material changes.
All commercial email communications sent by Epoch Notes LLC comply with the federal CAN-SPAM Act of 2003. Each such communication will include: a clear identification of Epoch Notes LLC as the sender; an accurate subject line; our physical mailing address; and a clear, functioning mechanism to opt out of future commercial messages. We will honor all opt-out requests within ten (10) business days of receipt.
If you are located in Canada, submission of the waitlist registration form constitutes express consent under Canada's Anti-Spam Legislation ("CASL") to receive electronic commercial messages from Epoch Notes LLC related to the purposes described in Section 4. You may withdraw this consent at any time using the unsubscribe mechanism included in each message or by contacting us directly.
You may unsubscribe from our communications at any time by using the unsubscribe link included in any email we send, or by contacting us at support@epochnotes.com with the subject line "Unsubscribe." We will process all unsubscribe requests promptly and within the timeframes required by applicable law.
Regardless of your jurisdiction, you may exercise the following rights at any time by contacting us at the address in Section 13:
We will respond to all verifiable requests within thirty (30) days of receipt, or such shorter period as required by applicable law in your jurisdiction. To verify your identity, we will confirm that the request originates from or is authenticated by the email address associated with your registration.

We honor Global Privacy Control ("GPC") signals transmitted by your browser or device as a valid opt-out of the sale or sharing of personal information, consistent with applicable law. As we do not sell or share personal information, the practical effect of a GPC signal on our current data processing is limited, but we will respect such signals as required.
To submit a rights request, contact us at support@epochnotes.com with the subject line "Privacy Request — [Your State]." We will verify your identity and respond within the timeframe required by applicable law.
If you are located in the European Economic Area, the United Kingdom, or Switzerland, you have the following rights under the GDPR or applicable equivalent legislation:
If you are located in Brazil, your personal information is processed in accordance with Brazil's Lei Geral de Proteção de Dados (Law No. 13,709/2018, "LGPD"). You have the following rights under the LGPD with respect to your personal information:
To exercise your rights under the LGPD, contact us at support@epochnotes.com with the subject line "Privacy Request — Brazil." We will respond within fifteen (15) days of receipt of a verifiable request, as required by the LGPD.
If you are located in Canada, your personal information is collected, used, and disclosed in accordance with Canada's Personal Information Protection and Electronic Documents Act ("PIPEDA") and applicable provincial privacy legislation. You have the right to access the personal information we hold about you and to request correction of any inaccuracies. To exercise these rights, contact us at support@epochnotes.com with the subject line "Privacy Request — Canada." We will respond within thirty (30) days of receipt of a verifiable request.
We implement commercially reasonable technical and organizational measures designed to protect personal information in our possession against unauthorized access, disclosure, alteration, loss, and destruction. These measures are periodically reviewed and updated in light of evolving threats, the nature of the data we process, and applicable legal requirements.
No method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security and are not responsible for unauthorized access arising beyond our reasonable control. In the event of a data breach affecting your personal information that triggers notification obligations under applicable law, we will notify affected individuals and relevant authorities as required and within the timeframes mandated by applicable law.
We retain waitlist registrant information — specifically, your email address — only for as long as necessary to fulfill the purposes described in this Policy, subject to the following:
Upon deletion, we will remove your personal information from active systems within thirty (30) days, subject to any retention required by applicable law or legitimate legal hold.
Aggregate analytics data processed by Plausible Analytics does not contain personal information and is subject to Plausible's own retention practices.
The Site is not directed to, and we do not knowingly collect personal information from, individuals under the age of thirteen (13). We require users to confirm they are at least thirteen (13) years of age prior to submitting the registration form. If we become aware that personal information has been collected from a child under thirteen without verifiable parental or guardian consent, we will take prompt steps to delete such information from our records without undue delay. If you have reason to believe we may have inadvertently collected information from a minor, please contact us immediately at support@epochnotes.com.
